Draft for approval

Not ready for publication. Review date: 1 October 2026. Confirm the processing details and items marked for approval below before adopting this notice.

Who is responsible

The House Exchange Ltd, company number 17436842. Registered office: C/O Walkers Accountants Ltd Suite 3 Aireside House, Royd Ings Avenue, Keighley, West Yorkshire, England, BD21 4BZ. Email: info@thehouseexchange.co.uk. We are the controller of personal information we collect for our property-buying enquiries. Contact us at the email or postal address above about your information.

Information and purposes

Our enquiry form requests your name, property address and postcode, email, telephone number and contact permission. We use these details to respond, assess a possible purchase and arrange follow-up. Later checks may require ownership, identity and transaction information. Please do not send identity documents, bank details or sensitive personal information through the initial enquiry form.

Providing information and keeping it accurate

You choose whether to enquire. Without the contact and property details needed to assess your enquiry, we may be unable to respond or prepare an offer. If a later check requires information by law or contract, we should explain the requirement and the consequences of not providing it. Please tell us when your details change.

Lawful use

Proposed bases for approval: taking steps at your request before a contract for purchase enquiries; legitimate interests for necessary administration, security and handling complaints; and legal obligations where a specific requirement applies. Separate consent should be obtained where required for optional marketing or tracking. The contact-permission checkbox is not permission for unrelated marketing. Confirm each basis against actual processing before publication.

Recipients and retention

Before publication, identify hosting, email, form, CRM and other providers; professional advisers and other recipients; any overseas processing and applicable safeguards; data sources used beyond the form; and the retention period or criteria for each record category. These details have not yet been confirmed. Do not publish this draft with this section unresolved.

Sharing, security and contact preferences — approval required

Approve and implement these safeguards: share only the information needed for a defined purpose with authorised providers or advisers, such as a conveyancer or surveyor where involved. Explain their role and any independent privacy notice. Limit staff access and use proportionate security; no internet service is risk-free. Do not assume enquiries authorise marketing by another business. Record requests to stop optional contact, while distinguishing necessary transaction communications and lawful record retention. Confirm whether calls are recorded before making any recording claim.

Your choices and rights

You can ask for access, correction, erasure or restriction, object to relevant processing, and request portability where applicable. Where processing relies on consent, you may withdraw it without affecting earlier lawful use. Rights have conditions and exceptions. Email us to make a request or raise a concern. You may complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint.

Cookies and planned address lookup

The site has cookie-choice controls. A verified cookie and tracking inventory, purposes and durations must be added before launch. Google address lookup is not currently enabled; assess its data sharing and update this notice before adding it. Confirm whether any profiling or solely automated significant decisions occur. Before launch, test that tracking requiring consent stays off until a valid choice, and that withdrawing consent is straightforward. Continued browsing alone must not be treated as consent. Do not describe identifiers or analytics as anonymous without checking whether individuals can be identified.
